Peppol invoice in Belgium — create, check and read it for free

Since 1 January 2026 every VAT-registered company established in Belgium must send and receive its B2B invoices as structured e-invoices over Peppol. aiDoks creates the Peppol BIS 3.0 XML for free — from a form or a PDF — checks it against the rules, and opens the Peppol invoices you receive. It does not send the invoice: that is the job of a Peppol access point. Here is how the pieces fit together.

From invoice to Peppol in 3 steps

1

Create the invoice

Fill in the form or upload a PDF, scan or photo and let AI fill it in. Search the Peppol Directory by name or company number to fill in your customer's Peppol ID. Saved customers, products and templates speed up the next one; credit notes work the same way.

2

Check it and download the XML

Before download the invoice is checked against the EN 16931 and Peppol BIS 3.0 rules, with errors explained in plain language. You get a Peppol BIS 3.0 UBL XML file, plus a PDF copy for your records.

3

Send it through your access point

Upload the XML to the Peppol access point or invoicing tool you use, if it accepts UBL files. The access point delivers it to your customer's access point — that transmission is the part aiDoks does not do.

What aiDoks does — and what it does not

Creating and checking: yes

aiDoks creates Peppol BIS 3.0 invoices and credit notes and validates any Peppol XML against the official rules, so your access point or your customer does not reject it.

Sending over Peppol: through an access point

Sending and receiving over Peppol needs an access point, and aiDoks is not one. Hermes, the free government service that forwarded Peppol invoices by e-mail, stopped on 31 December 2025.

Invoices to the government: Mercurius

Belgian public authorities receive e-invoices through Mercurius — via your access point, or via the free Mercurius portal, where you log in with eID and type the invoice into a web form. The portal does not take an uploaded file.

Received a Peppol invoice? Read it

Got a Peppol XML you cannot read, or want to check before you book it? The free viewer opens it as a readable PDF, and the validator lists any rule it breaks.

The dates that matter

  • 31 December 2025 — Hermes closed; Peppol invoices now reach you only through an access point.
  • 1 January 2026 — B2B invoices between VAT-registered companies established in Belgium must be structured e-invoices over Peppol, both sent and received.
  • Invoices to consumers — not covered; they can stay in the usual formats.

A Belgian company's Peppol ID is usually 0208 followed by its enterprise number (KBO/BCE). The Peppol Directory search in the invoice form finds it for you.

Peppol invoice in Belgium: FAQ

Can I send a Peppol invoice with aiDoks?

No. aiDoks creates and checks the Peppol BIS 3.0 XML and reads the invoices you receive, but it is not a Peppol access point. Upload the XML to the access point or invoicing tool you use, if it accepts UBL files. Hermes, the free government forwarding service, closed on 31 December 2025.

Is creating a Peppol invoice with aiDoks free?

Yes. The free plan covers 6 e-invoices a month, and Pro (€4.85 a month) is unlimited. Validating and viewing XML files is free.

Which format does Belgium require?

Peppol BIS Billing 3.0 — an XML invoice in UBL 2.1 that follows the European standard EN 16931. A PDF, even sent by e-mail, does not meet the B2B obligation since 1 January 2026.

How do I find my customer's Peppol ID?

Search the Peppol Directory by name or company number from the invoice form — one pick fills the scheme and the ID. For Belgian companies it is usually 0208 followed by the enterprise number (KBO/BCE).

How do I send an e-invoice to a Belgian public authority?

Public authorities receive e-invoices through Mercurius: send it through your Peppol access point, or type it into the web form of the free Mercurius portal after logging in with eID. The portal does not accept an uploaded file.

I received a Peppol XML file — how do I read it?

Open it in the free viewer: it shows any Peppol, UBL or CII invoice as a readable PDF. The validator tells you whether it breaks any rule before you book it.
